8 tips to save money on printing in your company

There is no denying that the vast majority of companies are sincere in their efforts to effectively reduce printing costs. However, the savings are not always commensurate with the effort involved and, despite comparable conditions, companies achieve vastly different results. So what are some companies doing wrong, or more precisely, how can they save money on printing?

Companies are well aware that toners, ink cartridges, office paper, energy for equipment operation, printer servicing or archiving or, on the contrary, paper disposal costs them considerable funds annually, which could be invested much more sensibly. It is not surprising that companies are trying to achieve savings by taking various measures, including motivating their employees. However, as it turns out, good word of mouth and various motivational leaflets have virtually no positive effect in reducing printing costs.

Somewhat more successful were companies that did not rely solely on their employees and deployed "paperless office" software to replace paper filing and allow employees to access documents from anywhere. Surprisingly, even paperless offices are no guarantee of success, as the companies that saved the most money were those that took a more decisive approach and adopted a number of measures. We have selected the most effective ones that can be applied in any company.

1. Replace small inefficient printers with one central one

Replacing older printers with high consumable costs with more modern, cost-effective printers can be a recipe for reducing printing costs. However, a range of printers still means more consumables, so having one central printer and printing over a computer network will be ideal. Plus, if you place the printer with the employee in charge of it, the savings are taken care of.

2. Monitor print job submissions

Modern printers can increase savings by monitoring what specific users or departments are printing and, if necessary, only allowing them to print the approved type of print. In addition, if you tell employees that you're going to do this monitoring on a regular basis, you can bet that printing costs will be reduced by up to several tens of percent.

3. Eliminate mistakes, they can cost a company a lot more than you think

4. Kromě omylů řešte i zapomnětlivost

Když jsme výše zmínili lidskou omylnost, uvědomili jsme si, že bude vhodné zmínit také zapomnětlivost. V důsledku stresu a vysokého pracovního nasazení totiž mohou zaměstnanci zapomenout na to, že si dané dokumenty už jednou vytiskli. Řešením může být odesílání tiskových úloh na server, kde čekají v řadě. Úloha se vytiskne až v momentě, kdy zaměstnanci přijdou k tiskárně a potvrdí tisk stisknutím tlačítka.

5. Písmo a okraje jsou zdánlivě zanedbatelné detaily, ale efektivní

K jednoduchým, ale osvědčeným metodám na snižování nákladů na tisk patří zmenšení písma. Pokud nastavení písma půjde ruku v ruce s nastavením okrajů, můžete počítat s celkem zajímavou finanční úsporou. U písma ale ještě chvíli zůstaneme.

6. Bez povšimnutí nenechte typ písma

Budete možná překvapeni, ale už dva obyčejné kliky myší stačí k tomu, abyste šetřili toner nebo inkoust. Mezi nejúspornější fonty písma patří Century Gothic, Calibri nebo Garamond, naopak Arial nebo Tahoma vyčerpávají náplně tiskáren nejvíce.

7. Šetřete kancelářský papír

Pokud přemýšlíte nad tím, jak ve firmě ušetřit za tisk, vaší pozornosti by neměla ujít gramáž kancelářského papíru. Na běžné tiskové úlohy použijte klasický kancelářský papír s nižší gramáží, při speciálních příležitostech (tisk reprezentativních materiálů atd.) sáhněte po dražším papíře s vyšší gramáží.

8. Duplexní tisk musí být samozřejmostí

V seznamu tipů přirozeně nemůže chybět duplexní, nebo chcete-li oboustranný tisk dokumentů, se kterým se podle zkušeností renomovaných firem dá dosáhnout až 40 % úspory nákladů na papír. Při snahách o šetření stojí za zvážení také černobílý tisk nebo tisk v nižší kvalitě.
